Meet the Founder
WELLROUNDED was founded by Samuel Hiester in 2024 with the initial mission of bringing a well-rounded approach to data analysis and decision-making to small businesses. Its focus and mission gradually shifted to the counseling space when Samuel was given the opportunity to consult for a counseling practice in Fort Worth, TX, on hiring, growth, and profitability. This quickly blossomed into a passion for the industry.

“Ever since I was a kid, I’ve always been a builder.I would spend hours upon hours playing with Legos, building this or that. I hated the instructions.Too limiting.I would literally take any new box of Legos and dump it into the larger Lego repository to fuel my imagination for a later date.I’m 30 years old now, with two kids and a wife. I’ve been married before, and my oldest is from my first marriage. It’s been an amazing life so far - I’ve experience a lot of things I’m grateful for.I assume you’re a therapist or counselor reading this, so you’ll appreciate the reflection and personal development that became a natural part of my life growing up. There’s still so much more to go, but my mother taught me everything I know.So, let’s walk through that real quick. I promise it will come full circle.I started my professional career in 2020 as a price/cost analyst at Lockheed Martin, analyzing supplier cost data, forecasting cost elements, and negotiating multimillion-dollar—and sometimes billion-dollar—contracts. These were decisions way above my pay grade.Very interesting work, but I started getting cold feet.I fell in love with data about three years into my career, but only after I decided I should try a different role—a role that didn’t involve data so much as making sure paperwork was in the right place.After returning to my cost analysis role in 2024, I knew that whatever this was, I wanted to make a career out of it.But I had no idea what that would look like. I only knew it was going to be called WellRounded because I loved the philosophy—now WELLROUNDED.Growing up, my parents were high achievers. I grew up overseas while my father taught Jordanian pilots how to fly their planes. We lived in Jordan for a total of 11 years before moving back in 2010. Seven years of that time were dedicated to missionary work—my parents were high achievers in their faith, too.This is relevant because of the personal development and therapy I had to receive between 2010 and 2022.Helpful, but not fun.Fast-forward to early 2026, when I was given an opportunity to consult for a counseling practice.The successful counseling practice was lost. They weren’t sure whether they were losing money or whether their decision to hire and scale in 2025 was actually paying off.
Meanwhile, the practice owner was earning 90% of the practice’s revenue and beginning to realize the practice could not keep going the way it was.She wanted to work less and grow more. 1. What is PracticeOS?
PracticeOS is a done-for-you business intelligence, forecasting, and advisory system for owner-operated group counseling practices. It brings together financial and operational data so owners can make clearer decisions about profit, hiring, capacity, and growth.
2. Who is PracticeOS designed for?
PracticeOS is designed primarily for counseling practices with approximately 3 to 15 clinicians, especially practices where the owner is still seeing clients while managing the team and making growth decisions.
3. Does PracticeOS replace my EHR or accounting software?
No. PracticeOS works alongside the systems you already use, such as your EHR, QuickBooks, payroll platform, appointment reports, and spreadsheets. It connects and interprets the data rather than replacing those tools.
4. What questions can PracticeOS help answer?
PracticeOS can help answer questions such as:Can I afford my next hire?
Why is revenue growing but profit is not?
Which clinicians have unused capacity?
How are cancellations affecting revenue?
What happens if I reduce my own caseload?

5. What is included in a PracticeOS implementation?
Each system is customized, but it may include financial and operational dashboards, clinician utilization analysis, revenue and profit visibility, hiring and break-even models, a 12-month forecast, monthly priorities, and an AI Advisor powered by your practice’s data.
6. How long does implementation take?
The goal is to build and deliver your PracticeOS within 30 days, assuming the required data is available and provided on time.
7. Is there an upfront implementation fee?
No implementation fee is due upfront. Before work begins, we agree on five critical business questions PracticeOS must answer. If the completed system answers those questions, the implementation fee becomes due. If it does not, you pay nothing and keep the completed work, subject to the written agreement.
8. What data will I need to provide?
The exact requirements depend on your practice, but common sources include financial statements, QuickBooks reports, payroll information, appointment data, clinician rosters, utilization reports, revenue reports, and cancellation or no-show data.
9. Does my data need to be perfectly organized?
No. Messy data is common. Part of the process is identifying what information is available, organizing it, and determining what can be reliably used. However, missing or incomplete data may limit the questions the system can answer.
10. How do I know whether PracticeOS is right for my practice?
The best place to start is a Practice Growth Consultation. We will discuss the decision you are facing, the information currently available, what your numbers may reveal, and whether PracticeOS is the right next step.
11. How much time will this take me?
PracticeOS is designed to minimize the time required from the practice owner. Most of your involvement will happen during the initial consultation, data collection, and final review.You may need to:Answer a short set of questions about your practice and goals
Export or provide access to the agreed financial and operational reports
Attend a brief implementation kickoff
Review the completed system and confirm whether it answers the five agreed business questionsThe exact time depends on how accessible your data is, but the goal is to handle the analysis, organization, modeling, and system build for you—not create another project for you to manage.
12. What if I already have an EHR, bookkeeper, or accountant?
That is expected. PracticeOS does not replace those systems or professionals. It connects the financial and operational information they already provide and turns it into clearer business decisions.
13. Will PracticeOS work with my current software?
PracticeOS is designed to work with data exported from common EHR, accounting, payroll, and spreadsheet systems. During the consultation, we will review your current technology and confirm what information is available.
14. Is PracticeOS just another dashboard?
No. Dashboards show what happened. PracticeOS is designed to help explain why it happened, what is likely to happen next, and what action the numbers support.
15. Is PracticeOS customized to my practice?
Yes. The system is built around your practice’s goals, structure, available data, and most important business questions. It is not a one-size-fits-all reporting template.
16. What happens after the initial 30-day implementation?
After implementation, you will have a completed PracticeOS system and a clear understanding of the findings. Depending on your needs, ongoing advisory support, forecasting updates, monthly reviews, or continued system management may also be available.
17. How is my practice’s information protected?
Practice information is handled through agreed data-transfer and access processes. You should not submit patient-identifiable or highly sensitive information through the public website. Specific confidentiality, security, access, retention, and data-handling requirements will be documented in the client agreement.
18. Do you need access to patient information?
PracticeOS is intended to analyze business performance, not clinical records. In many cases, de-identified or aggregated financial and operational data should be sufficient. Any need for protected health information would be discussed and documented before data is transferred.
19. What if my data is incomplete?
Incomplete data does not automatically prevent an implementation. We will identify what can be answered reliably, where gaps exist, and whether additional information is needed before agreeing on the five critical business questions.
20. Will PracticeOS tell me exactly what decision to make?
PracticeOS provides analysis, forecasts, tradeoffs, and recommendations. Final decisions remain with the practice owner and should also involve qualified legal, tax, accounting, clinical, or employment professionals where appropriate.
21. What happens if PracticeOS does not answer the agreed questions?
If the system does not answer the five critical business questions agreed to before implementation, you do not pay the implementation fee and retain the completed work, subject to the terms of the signed agreement.
